No. Academy Smart LMS is licensed under a one-time payment model. You own the platform, host it yourself, and can onboard as many clients and learners as your business needs without recurring per-user fees.
Is this a one-time cost or will there be ongoing fees?
The license is one-time. After that, ongoing fees are optional: a monthly retainer for support, updates, and new features if you want it. Most clients pay between $550-$1,700/month, depending on the level of support they need.
What's the total cost compared to SaaS?
At a small scale, SaaS is cheaper. Past a few hundred learners, the math flips. Many training providers pay $100K+ per year in SaaS fees, but don't own anything. A custom LMS with Academy Smart typically delivers ROI within two to three years, and the cost stays flat as you grow.
Who owns the platform and the content on it?
You own everything. The platform runs on your infrastructure: your own server or a cloud instance of your choice (AWS, Azure, GCP). Either way, your client data, your course content, your learner records stay under your control. We have no access to your platform unless you invite us in
How long does it actually take? What if we need it sooner?
Most builds are complete in three to six months, about 50% faster than a typical custom LMS project because we start from a pre-built foundation. If you need something sooner, our pre-built LMS can be deployed and configured in four to six weeks, with custom features added iteratively afterward.
What if we need a feature that isn't in the pre-built version?
If you're on pre-built LMS, additional features can be added as optional customization. You don't need to commission a full custom build. If you're on custom LMS, your roadmap is yours. Either way, you're not waiting on a vendor to decide what gets built next.
What happens after delivery? Do we need a dev team to maintain it?
No. We offer an optional monthly support retainer that covers updates, bug fixes, performance monitoring, and new feature development. Most clients don't need an internal dev team. They need a long-term engineering partner, which is what we are.
How do we migrate data from our current platform?
We include up to 100 hours of free migration with every custom LMS build. That covers users, groups, course content, SCORM packages, and completion history. If you're starting from scratch with no existing platform, we help you set everything up from day one.
How secure will our platform be?
The platform runs on your infrastructure, under your security protocols. We follow enterprise-grade security practices: role-based access control, encrypted storage and transfer, GDPR-compliant workflows, and secure APIs. ISO 27001 certification is currently underway.
